Session Keeper is designed to help coaches and clients upload existing session audio, transcribe uploaded audio, organize, and revisit session content. We understand that session information can be personal and sensitive. This Privacy Policy explains what information we collect, how we use it, and the choices available to users.

1. Information We Collect

  • Account information, such as name, email address, account type, and login details.
  • Session information, such as uploaded recordings, transcripts, summaries, themes, patterns, action steps, reflection questions, and session notes.
  • Client information entered by a coach, such as client names and session history.
  • Usage information, such as pages visited, app activity, device/browser information, and error logs.
  • Payment information, processed through third-party payment providers. Session Keeper should not directly store full credit card numbers.

2. How We Use Information

  • To create and manage user accounts.
  • To provide audio upload, transcription, summaries, insights, and session organization.
  • To save and display session history.
  • To support Coach and Client account experiences.
  • To improve app performance and reliability.
  • To respond to support requests.
  • To process subscriptions and payments.
  • To protect against misuse, fraud, or unauthorized access.

3. Recordings and Transcripts

Audio files may be uploaded so Session Keeper can create a transcript and related session materials. Depending on the app configuration, audio files may be temporarily stored and processed through third-party services used for transcription and storage. Transcripts and generated reports may be saved so users can return to them later.

4. Third-Party Services

Session Keeper may use trusted third-party services for hosting, database/storage, transcription, AI-generated summaries and reports, payments, analytics, or error monitoring. Examples may include Vercel, Supabase, Cloudflare R2, AssemblyAI, OpenAI, and Stripe. These services only receive the information needed to provide their part of the service.

5. How We Share Information

We do not sell personal information.

  • With service providers needed to operate the app.
  • When required by law.
  • To protect the rights, safety, or security of Session Keeper, users, or others.
  • With user consent.

6. Coach and Client Privacy

Coach accounts and Client accounts are separate. A client's private account content is not automatically shared with a coach unless sharing features are specifically built and the client chooses to share.

7. Data Security

We use reasonable technical and organizational safeguards to help protect user information. No online service can guarantee absolute security, so users should keep their login credentials private and use care when uploading sensitive content.

8. Data Retention

We retain account and session information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and maintain business records. Users may delete individual sessions where deletion tools are provided.

9. User Choices

  • Update account settings.
  • Delete sessions or clients where available.
  • Contact support about account or data questions.
  • Stop using the service.
  • Request information about their account data where applicable.

10. Children's Privacy

Session Keeper is not intended for children under 13. Users should not create accounts or upload session content for children unless they have the legal authority and consent required to do so.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are significant, we may provide notice through the app or website.
